Front Office Manager

We are looking for a front office manager with a warm and energetic personality; strong multi-tasking skills; excellent oral and written communication skills; and strong organizational skills. As a front office manager, you will be the first point of contact for our company and will therefore need to make a great first impression. You will need to have friendly and welcoming attitude and a desire to serve both our team as well as our clients. A strong gifting in hospitality, a passion for our clients and their missions, and a friendly, outgoing personality are all highly sought after traits. 

Responsibilities

Receptionist duties

  • Greet and welcome guests as soon as they arrive to our business suite
  • Direct visitors to the appropriate person, office, or conference room
  • Answer, screen and forward incoming phone calls and email
  • Receive, sort and distribute daily mail and deliveries
  • Order front office, conference room, and kitchen supplies and keep inventory of stock
  • Ensure reception area, kitchen, and conference rooms are tidy, well stocked, and presentable
  • Maintain office security by following safety procedures and controlling access via the front desk
  • Deal with emergencies in a timely and effective manner
  • Perform other clerical receptionist duties such as filing, photocopying, scanning, and faxing

Office manager duties

  • Assist with scheduling meetings and appointments
  • Update and maintain company calendar
  • Maintain office services and support of staff
  • Maintain office supplies and evaluate new office products 
  • Ensure proper operation and maintenance of office equipment and schedule for repairs when necessary
  • Manage office G&A budget and ensure accurate and timely reporting
  • Provide general administrative support to our employees
  • Assist with making travel arrangements and accommodations
  • Assist with contract and price negotiations with office vendors, service providers and office lease
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Assist with employee onboarding and outboarding procedures
  • Elementary HR duties including assisting with maintenance and update of HR platform
  • Assist with business research projects
  • Facilitate answering questions about office policies and employee benefits
  • Plan in-house or off-site events (e.g. parties, celebrations, retreats, and conferences)

Requirements

  • Proven work experience as a office manager, receptionist, or similar role
  • Outgoing, confident and comfortable with people
  • Shows integrity, strong work ethic, and self-motivated
  • Excited about working with Christian Non-Profits, ministries and churches
  • Strong written and verbal communication skills
  • Keen attention to detail and well organized
  • Enjoys a fast paced, open, team environment
  • Ability to be resourceful and proactive when issues arise
  • Ability to adapt to the often-changing needs of clients and/or the agency
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Able to complete work well under high-pressure situations
  • Professional attitude and appearance
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)

  • Compensation is based on level of experience
